Your first automation project: a step-by-step guide

What actually happens when you automate a workflow — from the first conversation to a live, tested automation your team trusts.

If you’ve never automated anything before, it can be hard to picture what the process looks like. Here’s how a typical first project runs, and how to get the most from it.

1. Discovery

We start by talking through how the work happens today: who does it, which tools are involved, where things get stuck. The goal is to find one workflow with clear, repeatable steps and real time to save.

2. Mapping the workflow

Next we write the process down step by step, including the exceptions — the ‘what if the customer doesn’t reply?’ moments. This is where most of the value is uncovered.

3. Building it

We connect your existing tools and build the automation, adding AI where it genuinely helps — reading emails, drafting replies, extracting details from documents — and plain rules everywhere else.

4. Testing with real examples

Before anything goes live, we run it against real (or realistic) cases with your team. Anything unexpected goes to a person rather than being guessed at.

5. Going live and handover

We switch it on, monitor it closely for the first couple of weeks and show your team how it works and what to do if something looks off.

6. Measure and improve

After a month, compare the time spent against your starting point. Most businesses then pick the next workflow — and the second one is always faster.

How to prepare

  • Pick one person who owns the process and can answer questions.

  • Gather logins for the tools involved.

  • Collect a handful of real examples, including the awkward ones.
